End of Year Procedures 2019

For maintained schools, the start of the 2019/2020 Academic Year in Hertfordshire is 01/09/2019. The last day of the Summer Term is 21/07/20. The end date for the Academic Year is 31/08/2020. As it is a leap year, SIMS will automatically add 30/08/2020 as the last day. This is fine and will be corrected when 2020/21 is created. The first day in September may not be the start of the Autumn term for your school but we recommend you use this date when creating the terms AND for the admission date of your new pupils.

DMS001 - End of Year Procedures - Primary, Special and Nursery
This document describes the steps that should be followed to enable a successful transition from one academic year to another. It includes the creation of a new academic year, setting up next year’s registration groups and year groups, etc. together with the promotion of pupils from one year into the next.

This document can be started at any time during the summer term, and MUST be completed BEFORE the end of term. Please note that the ‘Start of Year Procedures 2019/2020’ document will be available on the grid towards the end of the Summer Term.

If you are new to the End of Year processes we offer training courses which guide you through everything. We also offer remote ‘own data’ courses where you can come and complete the document on your own sims database, with assistance from Data Management Consultants. These can be booked in the usual place.

If you use the Dinner Money module you will need to complete a separate document once the new Academic Year has been created. This will be available later in the term and can be found here: www.thegrid.org.uk/info/traded/sitss/finance/dinners/

DMS002 – Start of Year Procedures 2019/2020

We recommend carrying out the processes in this document once the new academic year has started. Try and complete this document on the first day of term if possible, as you will need your new pupils on for Dinner Money (if you use it). We would recommend that you do not Admit Applicants until they have actually started at the school.

The tasks contained from page 17 do not have to be run as part of the Start of Year procedures, but this is a convenient time of year to carry them out.
